This Privacy Policy describes how Ayin Health Solutions ("Company," "we," "us," "our") collects, uses, and protects information in connection with the Ayin Health Solutions SMS Verification Program ("Program"). This policy applies specifically to data collected through our SMS-based identity verification service used by the IT helpdesk.
2. Information We Collect
In connection with the Program, we collect and process the following information:
- Mobile phone number — Provided by you via the SMS Consent Form or sourced from your employee HR record.
- Employee name — To associate consent and verification activity with the correct user.
- Consent record — A record that you opted in to the Program, including the date and method of consent.
- Verification logs — Timestamps, agent identity, and verification outcome (success/failure). Phone numbers are masked in all logs (only the last 4 digits are recorded).
3. How We Use Your Information
Your information is used solely for the following purposes:
- Sending one-time passcode (OTP) SMS messages to verify your identity during IT helpdesk interactions.
- Maintaining an audit trail of verification events for security and compliance purposes.
- Processing opt-out requests.
We do not use your phone number or SMS data for marketing, advertising, or any purpose other than identity verification.
4. Third-Party Data Sharing
We do not sell, rent, trade, or share your personal information, phone number, or SMS consent data with any third parties for marketing or promotional purposes.
The only third party involved in the delivery of SMS messages is our SMS delivery provider, Amazon Web Services (AWS), which transmits messages on our behalf. AWS processes this data solely for the purpose of message delivery in accordance with their own privacy and security standards.
The above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.
5. Data Security
We implement appropriate technical and organizational measures to protect your information:
- All SMS messages are transmitted via encrypted channels (TLS 1.2+).
- Verification codes are randomly generated, single-use, and expire after 5 minutes.
- Phone numbers are masked in verification logs (last 4 digits only).
- Verification logs are stored in secured network locations accessible only to authorized IT personnel.
- Access to the SMS verification tool requires authenticated AWS credentials.
6. Data Retention
Verification logs are retained in accordance with our internal data retention policies. Consent records are retained for as long as you are an active participant in the Program or as required by applicable law. If you opt out, your consent record will be updated to reflect your opt-out status.
7. Your Rights & Choices
You have the right to:
- Opt out of SMS messages at any time by texting STOP, emailing support@ayin.com, or requesting removal during a helpdesk call.
- Request information about the data we hold in connection with the Program by contacting support@ayin.com.
