This guide explains what to expect when an Ayin employee shares content with a guest user, including the security measures and access controls required for collaboration.
Email Sharing Invitation
When a SharePoint site or individual document is shared externally, the guest user will receive an email similar to the example shown below.
Authentication & Security Requirements
In order to access data and collaborate, guest users are required to authenticate with MFA. Outlined below are two authentication workflows depending on the type of guest account that content is shared with.
Guest with a Microsoft-linked account
- Sign in using your existing email address, password, and MFA token (if applicable)
- Setup or enter an Ayin-specific MFA token
Note: Microsoft does not allow the same MFA token to be used across multiple accounts. Therefore, a separate Ayin-specific MFA token is required, even if MFA is already configured on your account.
Guest without a Microsoft-linked account
- You will receive an email with a one-time use code, which acts as your password.
- Setup or enter an Ayin-specific MFA token
Note: Microsoft does not allow the same MFA token to be used across multiple accounts. Therefore, a separate Ayin-specific MFA token is required, even if MFA is already configured on your account.
(Optional) How to link your account with Microsoft
Guests can optionally link their existing email address to Microsoft for streamlined access and to avoid the one-time password process. Any email address can be linked to Microsoft at no cost here: https://account.microsoft.com/account
