The PTO request process has been created to allow employees to request PTO for various reasons and to have an approver be able to approve or reject those requests.
PTO Requests
- To request PTO, fill out and submit the PTO Request Form.
- Make sure you are selecting the correct calendar for your team!
- All employees also have a PTO Request Form app in Okta that will open the form.
- Once the form is submitted, an approval will be sent to each approver that has been established for the selected PTO calendar.
- The employee requesting PTO will ultimately receive two emails.
- The first email is to state that the PTO request was received and is pending approval.
- The second email will be the confirmation email, which will be sent once an approver either approves or rejects the request.
- The PTO request with the dates and times requested will then be added to the employee's calendar, as well as the PTO calendar.
PTO Approvals (Management)
All PTO requests will be sent to the approvers as an approval in Teams.
- Approvals will be sent to every approver that is designated as such on each PTO calendar.
- These are "First to respond" approvals. The first approver to approve or reject the PTO request will complete the approval process.
- All possible details of the PTO request will be included in the approval.
- Employees can technically choose any PTO calendar. Be sure to double check the employee's name and ensure they are on your team!
- If you approve PTO for an employee not on your team, it will still end up on your team's PTO calendar instead of the PTO calendar that the employee should have chosen correctly.
- There is an Approvals app in Teams that may be helpful for approvers to keep track of the history of approvals.
- This can be accessed in Teams by going to Apps and then, clicking Open for the Approvals app.
- Once it's been opened, you can right-click it and choose "Pin" to pin it to your sidewall.
